What is Event Technology?

Event technology refers to the full set of technical components needed to run professional events of every size and format. In the broadest sense it spans lighting, sound, video, staging and IT equipment. The focus of this guide is the discipline we have specialised in for more than 25 years: event technology in the field of media technology, display technology and digital signage.

Well-chosen event technology makes content visible, steers guests around the venue, puts speakers in the spotlight and keeps brands memorable long after the doors close. It is the invisible backbone of every successful event – from a small workshop to a flagship congress welcoming thousands of international delegates.

Anyone sourcing event technology professionally faces a host of questions: which devices are really necessary, how large does an LED wall need to be, is dry-hire or a full-service package the better fit, and what budget should be earmarked for a 500-person conference? This guide answers each of those questions in a structured way – organised by equipment category, application area and budget tier – so you can build a realistic plan before you even request a quote.

Rental Models: Dry-Hire vs. Full-Service Package

At Servus Medientechnik you can choose between two main rental models. The right one for you depends on your in-house resources, the technical know-how available on your team and how much of your time you want to invest in hands-on project delivery:

Criterion Dry-Hire (self-collection / freight, no on-site service) Full-Service Package
Equipment collection / delivery Self-collect or forwarding Included
Setup & commissioning Handled by hirer Included
On-site support Handled by hirer Included
Dismantling & return transport Handled by hirer Included
Content loading Handled by hirer Included on request
Insurance Hirer's responsibility / add-on Included
Typical clients Sub-renters, exhibition builders, AV companies End clients, agencies, companies without in-house technicians
Price level Most competitive B2B daily rates Higher, but fully handled by one partner
Recommendation: For event agencies and companies without their own technicians, the full-service package is the stress-free route: everything from a single source, one point of contact, one fixed price. Sub-renters and experienced exhibition builders save significantly with dry-hire.

Process: 6 Steps to Your Event Technology

Here is how a typical project runs from the first enquiry to the return of the equipment. The timeline scales naturally to match the size of your event:

1. Enquiry

Get in touch by phone, email or contact form with your event date, venue and a wish list. We respond within one business day.

2. Quotation

A tailored proposal with a transparent price breakdown, sensible alternatives and optional add-on services.

3. Delivery

On time to your venue – across Germany and Europe. Flight cases, accessories and spare units are shipped alongside the main equipment.

4. Setup

Our technicians install the event technology, commission every device, load your content and run full end-to-end tests before handover.

5. Show Support

During the event our technicians are on site or on call – ready to troubleshoot, swap content and support speakers in real time.

6. Dismantling & Return

After the event we dismantle the event technology and handle the return transport. Nothing else on your to-do list.

Our rental inventory: monitors and displays from 9 to 130 inches, LED walls from 1.5 mm pixel pitch, touchscreens, outdoor displays with IP55 rating up to 3,000 nits, transparent monitors, digital steles, customer stoppers, LED posters, notebooks, tablets, smartphones, robotics and telepresence systems plus accessories.

What is the difference between dry-hire and the full-service package?

Dry-hire is equipment-only rental without additional services – ideal for sub-renters and exhibition builders. The full-service package is our all-inclusive solution: consulting, delivery, setup, on-site support and dismantling are all included – ideal for end clients and agencies without in-house technicians.

How far in advance should I book event technology?

For standard requests we recommend 2–4 weeks of lead time. Short-notice enquiries within 24–48 hours are frequently possible thanks to our large inventory. In the Munich area we can also deliver on the same day if required.

Does Servus Medientechnik deliver across Europe?

Yes. We deliver across Germany and throughout Europe – from Austria and Switzerland to Benelux, France, Italy, Spain, Scandinavia and Eastern Europe. For cross-border jobs we organise customs clearance, ATA carnet paperwork and logistics on your behalf.

Is insurance included with the event technology rental?

Within the full-service package, liability insurance is included. For dry-hire, the hirer is responsible for insurance. On request we can arrange an electronic-equipment policy for the rental period from 2% of the replacement value.

Can on-site technicians be booked for support?

Yes. With the full-service package or as an add-on to dry-hire, you can book experienced event technicians for setup, on-show support, rehearsals and dismantling – multilingual and deeply industry-experienced.

Do you offer event technology for outdoor events?

Yes. We rent weatherproof event technology: outdoor displays and steles with IP55 rating, up to 3,000 nits brightness, and toughened safety glass. Outdoor guide →

Can I brand the event technology with my own identity?

Yes. We load your content (images, videos, slideshows, corporate logo) directly onto the displays and LED walls. For long-term rentals the housings can be wrapped with branded vinyl. For digital steles we provide template formats aligned with your corporate design.
